What is the most valuable thing in your computer that you would like to secure? Undoubtedly it is the data. The computer and the network have its existence because of data. Each and every data in the system is unique. That is the reason it is important to secure your data. If the operating system or the applications in the system gets corrupted it can be re-installed, whereas if the user created data is lost, then it cannot be replaced.
Data can be public or private. There are certain data that should remain confidential; not only do you not want to lose it you also don’t want others to view it. In offices, there can be confidential trade documents, employees’ information, client information, and valuable financial information whereas personal computers may have data regarding credit card, bank account and other information which could be subject to identity theft.
Mentioned below are some ways to prevent data loss or unauthorized access:
The simplest and the most important method to protect your data are to back up your data regularly and store them safely.
Set permissions on the data files and folders. If your system is connected to the network, you can always set share permissions to control the user accounts that can access these files. You can allow or deny various levels of access from read-only to full control.
It is always safer to have the documents and files, password protected. Microsoft office has an option to protect your data in form of files and documents.
Another option to protect your data is to encrypt the data using EFS. This is a built in certificate based encryption method in Windows 2000, Windows XP, Windows Pro and server 2003. EFS is used for protecting data on disk. If these encrypted data are transmitted over the network and someone captures the data packets with the help of sniffers they will be able to read them.
Disk encryption can be used to encrypt an entire disk or partition
Data can be protected using IP security, while transmitted over the network. This protects the data from hackers and sniffers.
Use rights management services secure your data. The Rights Management Services is used to control what the user at the receiving end is able to do. You can set rights so that the recipient can read the Word document you sent but can't change, copy, or save it. You can prevent recipients from forwarding email messages you send them and you can even set documents or messages to expire on a certain date/time so that the recipient can no longer access them after that time.
